Privacy Policy

The protection of your personal data is of great importance to PostEurop. In this Privacy Statement we want to provide clear and transparent information about how we handle personal data.

We make every effort to ensure your privacy and therefore handle personal data with care. PostEurop complies in all cases with applicable laws and regulations, including the EU General Data Protection Regulation.

Personal data collection and use

Personal data – As a member of PostEurop or an external stakeholder, you may provide us with personal data information when using our website, interacting with us on social media, campaigns, registering for information or events.

The data we collect can include your organisation’s name, title (or gender), job title, first name, family name, function, telephone number, mailing address, e-mail, social media account (s), web address and photos, applicable to PostEurop working groups memberships, subscriptions to PostEurop’s information and attendance at PostEurop meetings.Some of this data is considered as personal data under the EU General Data Protection Regulation. In most instances, we collect personal data directly from the data subjects, but we may sometimes obtain personal data from third parties such as directories or EU institutions websites.

Purpose of use and processing – the information that you provide us with will be used for the purpose of contacting you, fulfilling your online requests or facilitating your access to members-only content and/or providing you with relevant and updated information about our organisation, its activities and positions.

More specifically, PostEurop processes personal data for the following purposes:

  • For membership management and general administration: PostEurop has legitimate interests in the processing of personal data of the contact persons across its membership for the purpose of administering or informing its membership or for the governance of the association (such as the organisation of general assemblies and board meetings). PostEurop also processes the personal data of representatives and contact persons of entities with which PostEurop contracts, such as consortiums, services providers or consultancies.
  • For research, publication and advocacy purposes: PostEurop processes contact details of journalists, Members of European Parliament, officials from the European Commission and from EU Member States, academics, consultants and industry experts and European affairs stakeholders for the purposes of carrying out its research and advocacy activities.
  • For events organisation: PostEurop processes identification details of individuals who register to participate to events and conferences it organises for the purpose of managing the registration and participation to such events under the general terms and conditions that are expressly accepted by the individuals and/or based on consent for certain personal data.
  • For websites security and content access: PostEurop processes identification data from individuals who register themselves on websites managed by PostEurop and give their express consent to receive newsletters, information or participate in a PostEurop campaigns. PostEurop also processes identification data from members or content subscribers to facilitate their personal access to the meeting documents of their working groups or subscribed content on our designated extranet.
  • Employment: information from prospective interns and employees is shared internally until the individual becomes a candidate for employment. At that point, we may share the CV with our Management Board. We keep all accounting and administration information for auditing purposes, in accordance with standard practice and Belgian law.

 

Data disclosure

Disclosure – As a non-profit organisation PostEurop does not sell or distribute your personal information to third parties for any commercial purposes, except to provide products or services that you have requested, when we have permission, or if it is necessary to share information to investigate illegal activities, suspected fraud, situations where possible threats to the physical safety of a person, violations of Terms of Service or otherwise legally required.

Data integrity – PostEurop processes personal information only for the purposes for which it was collected and in accordance with this policy or an applicable service- privacy statement. We evaluate our procedures for collecting, storing and processing data to ensure that we only collect, store and process the personal information necessary to deliver or improve our services. We take reasonable steps to ensure that the personal information we process is accurate, complete and up-to-date, but we depend on our users to update or correct their personal information when necessary.

Data security and storage

Security – The information we receive from you is protected against unauthorized access once we receive it. We limit access to your information to employees who have a business reason to gain access to it. PostEurop uses external suppliers to provide the necessary hardware, software, network, storage and related technology needed to perform the service. Although PostEurop owns the code, databases and all rights to the application, you retain all rights to your personal data. Beyond our continuous and diligent efforts to protect your personal information, we cannot fully guarantee the security of your personal Information.

Storage – PostEurop will keep your data as long as you are a designated person of your organisation in relation with PostEurop or its members and, otherwise provided by law, for the time that is strictly necessary to achieve the purpose(s) for which they were collected.
